The university complex of the Colombian School of Engineering Julio Garavito moves towards Business Excellence by implementing the advanced AuraQuantic Business Process Management (BPM) Suite. The first process to be automated was for the Purchase of Goods and Hiring of Services, a complex, strategic process to control operations with more than 1000 suppliers. This process was implemented in just 2 months.
In an academic entity that, in addition to the administrative personnel has 477 professors and more than 5000 students, the amount of goods required is enormous (consumables, fixed assets, teaching materials, etc.), and not forgetting the continuous need to hire different services.
The project was launched mid-2009, with the objective to significantly reduce the number of complaints due to requests that were incorrectly dealt with. The aim was also to implement a tool that could reflect the efficiency of the administration at the Colombian School of Engineering, to assess whether there was sufficient staff and if the functions were being well distributed.
Monitoring each step to achieve continuous improvement.
Purchase requests from the users are dealt with immediately.
Less paperwork and effective workload management.
With AuraQuantic reports are generated to benefit from indicators and to continuously optimize processes.
"We know exactly what we need to do because everything is displayed in our AuraQuantic inbox."
“AuraQuantic BPM has enabled us to generate reports to benefit from indicators and to continue to optimize and continuously improve our processes."
